Privacy Policy

SERVALO ("we", "us") provides an AI receptionist, intake, dispatch, booking, and reputation platform for residential HVAC businesses. This policy explains what information we collect, how we use it, and the choices you have. It covers our website, our demo phone line, and the platform we operate for our business customers.

Information we collect

From prospective customers (this website): when you request a callback or contact us, we collect what you give us — your name, business name, phone number, email, city, and message. We use it to respond to your request and for no other purpose.

From our customers' callers (the platform):when an HVAC business runs SERVALO on its phone line, we process calls on that business's behalf: audio, transcripts, the caller's name, phone number, service address, and the details of the service request needed to book the job. Calls are recorded and transcribed with disclosure at the start of the call. This information belongs to the HVAC business you called; we process it as their service provider.

Usage data: standard technical logs (pages visited, approximate region, device type) used to operate and secure the service. We do not run third-party advertising trackers.

How we use information

  • To answer calls, schedule appointments, and send appointment-related messages for the HVAC business you contacted.
  • To respond when you ask us to contact you.
  • To operate, secure, troubleshoot, and improve the service.
  • To meet legal and carrier-compliance obligations.

We do not sell personal information.

Text messaging (SMS)

Callers may receive service-related text messages — for example a text-back after a missed call, an appointment confirmation, or a review request after a completed job. Message frequency varies with your service interaction; message and data rates may apply. Reply STOP at any time to opt out — opt-outs are honored immediately and automatically. Reply HELP for help. No mobile information or SMS opt-in consent is shared with third parties or affiliates for marketing or promotional purposes.

Sharing

We share information only with the service providers required to run the platform — telephony (Twilio), AI processing (Anthropic), hosting and database infrastructure (Vercel, Railway, Supabase), and email delivery — each bound to process it only on our instructions. We may disclose information if required by law. Caller information is shared with the HVAC business the caller contacted; that is the point of the service.

Retention and security

Call recordings and transcripts are retained according to each business's configured retention policy and then deleted. Data is encrypted in transit, access is scoped per business (tenant-isolated at the database layer), and every consequential action in the platform is audit-logged.

Your choices

  • Reply STOP to any text to stop texts.
  • Ask the business you called — or us — to access or delete your information, and we will honor it as their processor.
  • Prospects can ask us to delete their contact request at any time.

Children

The service is for businesses and their adult customers; we do not knowingly collect information from children under 13.
